Expenses

Claims that route themselves through the firm's actual approval chain.

Expense approval is where firms discover that their org chart and their authority chart are different documents. The approval policy is configured per firm as an ordered set of stages, and a claim moves through the ones that apply to it.

Every stage decision, including a skip, is written to the claim's approval log, and a claim sent back carries the reason with it. Authority is derived live from the current reporting line rather than stamped onto the claim when it was raised, so a claim does not sit waiting on somebody who has left.

The claim

  • Category, amount, payment method and the matter it belongs to
  • Receipts and supporting documents attached
  • The vendor paid, where the category is one a supplier can deliver

The chain

  • Stages covering line manager, finance, admin, partner and managing partner
  • Per-stage status: pending, approved, rejected or skipped
  • Return-with-note, with the note kept on the record
  • A policy for what happens when a claimant has no supervisor on file

Control

  • Budgets that claims are checked against
  • An approval log per claim, and audit entries for every transition
